Answering the One-Star Review About a Late Package: Five Public Replies That Protect the Next Buyer

A late package can become a public one-star review. Use these five reply templates to answer fast, fix the order, and reassure the next buyer.

You are not really answering the reviewer. You are answering the next buyer, who is reading the one-star review with your reply underneath it and deciding whether to check out.

Write for the next buyer

A good public reply does three things in under 80 words. It owns the problem, names the next step, and moves the details to a private channel. It does not argue, blame the carrier at length, or paste a policy.

Speed matters as much as wording. Most guides on handling shipping complaints recommend replying within 24 hours, because a silent review reads like a store that does not care.

Five reply templates

1. The carrier delay

"Thank you for telling us, and I am sorry the package is late. Your order is delayed in transit and we are tracking it today. Please email us your order number and we will make this right, whether that is a reship or a refund."

2. The wrong address

"I am sorry this one went astray. We checked the address on the order against the label and will confirm what happened. Send us your order number at the email below and we will get a replacement moving."

3. Tracking says delivered, customer says no

"We take this seriously and do not want you out of pocket. Please send your order number and we will open a resolution today, with next steps within one business day."

4. Damaged on arrival

"I am sorry the box arrived damaged. A photo of the item and the packaging helps us fix the pack-out, and we will send a replacement or refund as soon as we have it."

5. The delay was your fault

"You are right, and this one is on us. We shipped late and we should have told you sooner. We have refunded your shipping and sent a note to your inbox with what we are changing."

Use the fifth one when it is true. Shoppers forgive honest mistakes much faster than vague excuses.

What never goes in a public reply

  • The customer's full name, address or order details.
  • A promise you cannot keep, such as a delivery date.
  • A long explanation of carrier issues.
  • An argument about whether the customer is right.
  • A discount code offered only to people who complain, unless you are happy to see it quoted.

Move it private, then close the loop

Reply publicly once, then finish the work in email. When the order is fixed, add a short follow-up under the review: "Update: we have resolved this with the customer." Then ask, in private, whether they would be willing to update the review. Do not offer anything in exchange for changing it.

Do not hide the review

Merchants in the Shopify community regularly ask whether to hide one-star reviews. The common answer is that hiding them hurts trust more than showing them, because shoppers expect to see a few. A handled complaint is better proof of service than a perfect wall of five stars.

Cut the reviews at the source

The best reply is the one you never write. Late-package reviews usually follow silence, so message the customer when a package misses its estimated date, before the review window opens. Keep the whole resolution in your own brand experience so the customer does not have to chase anyone.

If you want that handled inside your own store experience, ShipAid Shipping Guarantee gives you branded resolutions for lost and damaged orders, and you keep the revenue from the Shipping Guarantee.
